Sales Administration Assistant

French company in the Livonia, MI area is seeking for a full time Sales Administration Assistant.

·       Able to collaborate with the various departments of the company

·       Rigor and methodology for the various follow-ups, classification and daily archiving

·       Interpersonal and communication skills, ability to convey a clear message

Responsibilities

Invoicing

·   Edit invoices according to delivery notes (2 times / month)

·   Inventory tracking of consignable stock and edit of corresponding invoices

·   Edit turnings recovery invoices

·   Send invoices to customers and accounting department, followed by classification

·   Monitor and verification of parts in transit

·   Report regulatory issues

Orders

·   Order recovery via the Electronic Data Interchange (EDI) process

·   Reception of the orders, and verification (indices, prices, addresses ...)

·   Order receipt (within 48 hours)

·   Print, save and archive orders

·   Registration of delivery notes under EDI procedures for validation

Production management

·   Creation, edition of production documents (production order, part plan, charts etc.)

·   Management of the parts database (creation and follow-up)

·   Management of the customer database (creation and monitoring)

·   Management of the tariff database (creation and follow-up)

·   Inform customers about the progress of their orders

Office duties

·   Greet and welcome visitors, customers and suppliers

·   Answer all incoming calls and redirect them or keep messages

·   Receiving letters, packages and distribute them and prepare outgoing mail

·   Check, sort and forward emails

·   Monitor office supplies and place orders when necessary

·   Monitoring office expenses and costs

·   Take up other duties as assigned (travel arrangements, schedules, etc.)

Education

  • Associate Degree or similar in related field or 5 years experience in a similar position
  • Languages skills:   English native level, French suitable business level

·       3 years minimum in the field of sales administration

·       Computer skills (ERP, Excel, Outlook, Word)

·       To be able to rigorously and systematically respect a method of work
